Source code, designs, research, trade secrets, and proprietary processes are valuable intangible information assets and should be classified according to commercial value and confidentiality obligations.

Passwords, API keys, private keys, seeds, and recovery secrets normally require strong classification and protection because disclosure can directly enable impersonation or decryption.
Database tables and other structured records should be classified based on content and business use. Structured formats support automated discovery but do not automatically reduce risk.

Combining multiple individually low-risk data sets can reveal identity, behavior, business strategy, or system structure and create greater sensitivity.
Copies, exports, backups, and derived content should generally retain appropriate protection until authorized reclassification or de-identification occurs.
Classification labeling uses headers, footers, metadata, database tags, or asset labels to express classification so personnel and technical controls can enforce handling rules.
Classification is the business-risk decision; marking is the mechanism used to express and enforce that decision. Changing a label alone does not constitute authorization to reclassify.
The business Data Owner normally determines or approves data classification, access, and handling requirements. A technical custodian implements those requirements rather than deciding sensitivity independently.

The System Owner is responsible for business use, risk, resources, and lifecycle decisions for a system and may be different from the system administrator or Data Owner.

In the 2.3 asset-provisioning and custody context, an Asset Custodian implements and maintains storage, backup, configuration, and day-to-day technical protections according to owner requirements. Custody and execution do not normally include authority to decide business classification, permitted use, or risk acceptance.
Common traps: A custodian should not downgrade classification for technical convenience.

Assign accountable ownership before new information or assets enter use so classification, access, retention, and retirement responsibilities are not left undefined.
Shared platforms can have many stakeholders, but business ownership, technical operations, and data-ownership boundaries must remain explicit so accountability is not diluted.
Maintain a trustworthy asset inventory recording identity, type, owner, location, status, classification, and important lifecycle information as a foundation for risk and control.

A Data User is authorized to use data for business tasks and must follow purpose, classification, and minimum-necessary requirements. Usage rights are not ownership.
In privacy contexts, a Data Subject is the natural person to whom personal data relates. Rights and organizational obligations depend on applicable law.
Common traps: A Data Subject is not the same as a Data Owner.
Distinctions: subject vs owner
Owner, Controller, Custodian, Processor, User, and Subject roles differ. Distinguish who determines purposes, who implements protection, who processes for another party, and who the personal data is about.
Organizations may assign a Data Steward to coordinate data quality, definitions, and governance. Responsibilities vary by organizational model and should not be forced to equal those of the Data Owner.
Before collecting data, define the business purpose, authority or legal basis, necessary fields, source, and protection requirements rather than collecting large amounts first and finding a use later.
Collect only data necessary for a defined purpose to reduce breach exposure, compliance burden, storage, and later destruction requirements.
Use data for clearly defined, authorized purposes. New incompatible uses may require reassessment of authorization, notice, consent, or other legal basis.
Consent can be one lawful basis for personal-data processing, but it is not the only basis in every jurisdiction or context. Determine the correct basis under applicable law.

Caches, snapshots, backups, synchronized endpoints, indexes, and analytics platforms create additional data copies that must be included in classification, retention, and deletion scope.
During maintenance, keep data accurate, complete, available, and appropriately classified while controlling updates, corrections, migrations, and permission changes.
Protect data from unauthorized modification during change, transformation, migration, and correction and retain necessary audit trails.
Business and privacy governance should support identifying and correcting inaccurate data and, when necessary, synchronize corrections to downstream copies.

Overwriting can support appropriate Clear or Purge use on reliably addressable media, but a fixed universal number of overwrite passes should not be required mechanically.

Degaussing uses a strong magnetic field to disrupt data on suitable magnetic media and may render the media unusable. It is generally ineffective for nonmagnetic media such as SSDs and optical discs.

Cryptographic erase securely destroys relevant encryption keys so underlying ciphertext becomes infeasible to recover when strong encryption has protected the data throughout its life. Effectiveness depends on encryption coverage and every key copy.
